SoCal Novas 2009 BBQ Initial Planning Meeting Date: 02/15/2009 Start Time: 2:30 pm Meeting Location: ddoyel's house Attendees: ddoyel, firebird69racer, CAP66, NOGO, hooksup2, vin63

Agenda Item 1: Location
	Pros and cons were discussed about a public park setting and a home setting. The six attendees scouted both ddoyel and vin63's home settings.
	A vote was proposed for a park or home setting - home location was unanimously chosen. A vote was proposed for either ddoyel or vin63's home - ddoyel's home was chosen 5 to 1 for the 2009 BBQ location.

Agenda Item 2: Date and Time
	The second Saturday of October was suggested by hooksup2. A date will be selected by this year’s host.
	Action Item: ddoyel to select event date.

Agenda Item 3: Food, Drinks, Ice & Coolers and Parking and Maps

	A vote was proposed for either potluck or catering catering was unanimously chosen Food types of BBQ and tacos were discussed. A decision of food type will be determined by ddoyel once pricing estimates are gathered. Wade's wife, Bev, offered to forward contact information to ddoyel of caterers she was familiar with from previous events.
	Action Items:
	ddoyel to research catering prices and Bev to forward caterer contact info Al (63 pro) will provide the ice with Bryan (NOGO) as back up. In addition to soda and beer, vin63, hooksup2, firebird69racer, and ddoyel to bring 5-gallon-type water coolers for water. Charlie (CAP66) and Wade (firebird69racer) will handle parking and maps Bill (Klean63), who provided beverages for the 2008 BBQ, will provide drinks for 2009 BBQ.

Agenda Item 4: Treasurer
	ddoyel nominated vin63 treasurer: there were no objections. Vincent (vin63) will be treasurer

Agenda Item 5: T-Shirts
	Discussions addressed the possibility of using the 2008 T-Shirt design and only changing the date and removing the sponsor logos. Hanes Beefy Ts will be the brand of shirt used.
	A vote was proposed to keep the 2008 design or develop a new design a new design was unanimously chosen. NOGO tabled the possibility of using different color shirts. The silkscreen design will determine shirt color - possible two-color process may work well with darker colors, or five-color process on white and ash-colored shirts.
	Action Item: T-shirt cost estimates of a quantity of 150 to 200 on five- and two-color design to be researched by vin63 and ddoyel' wife, Kathy.

Agenda Item 6: Trash Containers, Check-In, MC and Public Relations
	Mark (hooksup2) will provide trash containers Wrist bands were agreed for check-in and food service. Possible package of T-shirt(s), name tag and wrist band prepared prior to BBQ to speed check-in. Check-in staffing to be determined later. Bryan (NOGO) will provide MC services, and can provide raffle tickets, if needed. Public Relations will be determined on an as-needed basis. Raffle and T-shirt sponsorships will not be actively pursued. ddoyel to post message on SNS letting members know that if a sponsor is willing to contribute, to notify ddoyel directly.

Other Topics Discussed:
	Name Tag: the attendees agreed to have name tags pre-prepared with full name and SNS user name. Post BBQ cruise: it was decided that there would be no active planning for a scheduled, organized cruise. BBQ Activities: possible activities included spark plug wire sequence competition, silent auction and horse shoe competition. Awards: If engraving of award plaques is needed, decisions on award recipients will need to be provided to Jim (1qwikSS) by June, or identify alternative engraver. The SoCal Novas perpetual trophy recipient to be determined by ddoyel and vin63. Other awards to be determined by ddoyel with possible consultation with teddisnoke.
